Those who start preparation too late merely push problems into a tighter time window with higher costs. A Special Survey or Intermediate Survey has a clearly defined scope that is known months in advance. Yet many operators only begin preparation 4–6 weeks beforehand – too late to procure repair materials, close out open findings and bring documentation up to date.
The optimal preparation time is 6–12 months before the survey window. This sounds early but is necessary: spare parts for potential repairs have lead times of 8–24 weeks. Thickness measurements and tank condition reports must be completed before docking. And outstanding Conditions of Class (CoC) must be cancelled by the survey date – otherwise it becomes expensive.
The most common mistake: the superintendent assumes the survey will proceed “like last time.” Class rules change regularly, IACS Unified Requirements are updated, and the surveyor has discretion in interpretation. Anyone who does not actively engage with the current Status of Class and applicable requirements will be caught out.
The document list for a survey includes: valid certificates (check all statutory and class certificates with expiry dates), current survey reports from the last 5 years, the complete Status of Class (SoC) including all conditions, recommendations and memoranda, PMS records for all survey-relevant assets, thickness measurement reports (particularly for hull, ballast tanks and cargo hold bulkheads) and the repair history for all open or recently completed work.
Additionally, the following should be prepared: test protocols for safety equipment (SOLAS), test reports for fire protection systems (CO2, sprinkler, fire detection systems), current drawings and stability documentation, and the ISM audit report. For vessels with ballast water treatment systems, BWMS operating protocols and calibration records are also required.
A practical tip: all documents should be compiled in a dedicated folder – physical and digital – 2 weeks before the survey. The Chief Engineer and Master should work through a checklist and confirm that everything is complete and current. This pre-check saves considerable time on survey day.
Before each survey, a targeted technical walkthrough aligned with the due scope items is advisable. This walkthrough should take place 2–4 weeks before the survey date – ideally by the superintendent personally. The aim is not a complete inspection but a targeted check of the survey-relevant areas.
For a Machinery Survey, this includes: functional tests of safety systems (shutdowns, alarms), condition check of machinery to be inspected, opening and visual inspection of prepared equipment (e.g. cylinders, turbocharger if in scope), verification of PMS records for all relevant jobs and availability of tools and aids for the surveyor.
For a Hull Survey: ensure access to all tanks and spaces to be inspected (cleaning, ventilation, lighting), prepare thickness measurements at the positions determined by the surveyor, create condition photographs of known problem areas and have repair proposals ready for known damage.
The pre-inspection uncovers problems that would lead to findings during the survey – and provides the opportunity to resolve them beforehand. A finding resolved before the survey costs a fraction of what it costs when discovered during the survey and triggering a Condition of Class.
The superintendent is the interface between regulations, vessel and resources. Their task begins not on survey day but months before: evaluating Status of Class, coordinating survey scope with the classification society, prioritising open findings, procuring materials and preparing the crew.
During the survey, the superintendent is the point of contact for the surveyor. They can clarify technical questions, present repair proposals and immediately offer solutions for unexpected findings – rather than asking the surveyor to wait for a later response, which often leads to stricter conditions.
After the survey, the superintendent is responsible for follow-up: cancelling Conditions of Class within deadlines, implementing recommendations and feeding the survey findings into the next maintenance plan. A post-survey report summarising the findings, their causes and the actions taken is best practice – it serves as a template for the next survey and as evidence for audits.
The class survey system follows a 5-year cycle with defined inspection points. The main survey types are: Annual Survey (yearly, general condition check), Intermediate Survey (after 2.5 years, extended inspection), Special Survey (every 5 years, most comprehensive inspection), Bottom Survey (every 2.5 years, alternatively possible as In-Water Survey), Continuous Machinery Survey (CMS, continuous machinery-side inspection distributed over the 5-year cycle) and Tail-Shaft Survey (every 5 or 15 years depending on design per UR Z18).
For the superintendent, it is essential to know which surveys are due when and what scope they cover. IACS UR Z7.1 (Hull Survey) and UR Z7.2 (Machinery Survey) define the minimum requirements. Individual classification societies (DNV, LR, BV, ClassNK, ABS) may impose additional requirements beyond these.
A particular point is the Enhanced Survey Programme (ESP) for bulk carriers and tankers under IACS UR Z10.1–Z10.5. ESP demands detailed thickness measurements, close-up surveys at defined structural areas and documented condition assessments. Preparing an ESP survey is considerably more involved than a standard survey and requires specialised thickness measurement teams and potentially scaffolding.
A chemical tanker (12,000 DWT, 18 years old) was approaching its fourth Special Survey. The superintendent began preparation 10 months beforehand: evaluate Status of Class (3 open conditions), review thickness measurements from the last docking and identify potential steel repairs, check PMS records for all survey-relevant assets.
6 months before the survey: materials ordered for anticipated repairs (steel plates, coating materials, spare parts for cargo pumps). 3 months before: pre-inspection by superintendent, 7 additional repair items identified and incorporated into the docking plan. 2 weeks before: document folder compiled and verified on board.
Result: the survey was completed in 8 days (10 were planned). No new Conditions of Class. Total costs 15% under budget. The surveyor commented that the preparation was “exemplary” – which directly translated into a swift and uncomplicated inspection.
